Grievances & Concerns

Last updated
Owned by
Grievance owner (Principal)

If something about Quarry’s work, conduct, or products has affected you, we want to hear about it. This page explains how to raise a concern, what happens after you do, and the commitments we make in return. It is open to anyone. You do not need an account or an existing relationship with us.

Who can use this process

  • Employees and contractors, current or former
  • Clients and their teams
  • People who use products we designed or built
  • Suppliers, vendors, and partners
  • Community members and the general public

What you can raise

Any concern about how Quarry operates. The form asks you to pick a category so it reaches the right person quickly: workplace conduct, pay or contract matters, a client project, the accessibility of a product we shipped, privacy or data handling, a marketing claim, an environmental concern, or anything else.

How it works

  1. Submit. Use the form below, or email concerns@quarry.team. You choose whether to include contact details or stay anonymous.
  2. Reference number. Every submission receives a reference number. Keep it: it is how we and you refer to the matter.
  3. Acknowledgment. If you gave us a way to reach you, we acknowledge receipt within five business days.
  4. Review. The grievance owner reviews the concern, gathers what they need, and decides on a course of action. You may be asked follow-up questions.
  5. Resolution. We aim to resolve the concern, or give you a substantive update, within 30 days. If it takes longer, you receive a written status update every 30 days until it is closed.
  6. Closure. We tell you the outcome and, where relevant, what we changed as a result.

Who handles concerns

Concerns are handled by Quarry’s grievance owner, our Principal. A second member of the leadership team, the Principal Delivery Manager, acts as backup for conflicts of interest: if your concern involves the Principal personally, tick the box on the form and your submission is routed to the Principal Delivery Manager instead. It is not sent to the Principal. Concerns about other members of leadership go to the grievance owner as usual.

Confidentiality

We treat every concern as confidential by default. Details are shared inside Quarry only with the people who need them to look into the matter and act on it. We never publicly discuss individual submissions, and we never confirm or deny whether a particular submission was received or filtered.

Raising a concern anonymously

You can submit without giving your name or contact details. We investigate anonymous concerns as far as the information allows, and we are honest about the limits:

  • We cannot acknowledge receipt, send you updates, or ask follow-up questions.
  • Some concerns cannot be fully investigated or resolved without more detail.
  • You can still check on a concern by emailing us with your reference number, which would identify your email address to us. That choice is yours.

No retaliation

No one will face retaliation for raising a concern in good faith, or for taking part in a review. That applies to employees, contractors, clients, vendors, and anyone else. Retaliation is itself a matter you can raise through this process.

If you are not satisfied

If you believe your concern was not handled fairly, you can ask for it to be reviewed again by the backup. An external escalation route, independent of Quarry’s leadership, is also available: ask for it in your reply or by email and we will explain how to use it.

How we review this process

The grievance owner reports to leadership every quarter on the number and nature of concerns, how quickly they were acknowledged and resolved, and what is still open. Each December, leadership reviews the year as a whole, including any policy changes the concerns prompted. This process is part of our pursuit of B Corp certification.

Your information

What you submit is stored in systems we control and is used only to look into and resolve your concern. Records are kept for three years after a concern is closed, then deleted. Submissions our spam filters set aside are reviewed by a person every month, so a genuine concern is never lost. See our Privacy Policy for the full picture.

Other ways to reach us

If the form is not accessible to you, or you would rather not use it, email concerns@quarry.team or write to Quarry Design Group, LLC, 122 E Main St, Suite 300-001, Medford, OR 97501. Concerns raised by email or post follow the same process and timelines.

Raise a concern

Anonymous submissions are welcome. Only the concern itself and the acknowledgment are required, plus an email address if you’d like us to follow up.

How should we follow up?

Contact details let us acknowledge, update, and ask follow-up questions. Anonymous submissions are welcome; the limits are described above.

About the concern

Ticking this routes your submission to the backup (our Principal Delivery Manager) instead. It is not sent to the Principal.

What happened, when, and who or what was involved, as far as you’re comfortable sharing. If you have supporting documents, we’ll ask for them through a secure channel once we’ve acknowledged your concern.
